Who we are

The Fraternity of Orthodox Mission is a charitable association based in Thessaloniki, at 6 Mackenzie King Street, which aims to provide material and moral support to Orthodox missionaries throughout the world. In pursuit of this purpose, our Fraternity collects personal data of persons who deal or communicate with it. We attach great importance to the protection of your data and therefore we would like to use this document to inform you of our policy on the collection, processing, and use of your data in accordance with the General Data Protection Regulation (GDPR).

What personal data we collect and why

Magazine subscribers

Our Fraternity sends free of charge every quarter the magazine “Orthodox Mission” to persons who have expressed interest in it. We collect full name, gender, and postal address, and, where available, contact telephone numbers, email address, and language of communication. This data has been collected over the decades of publication of our magazine by the subscribers themselves or by third parties who wished to subscribe them. Recipients who did not wish to receive the magazine could return it free of charge and be removed from our database. We continue to use the data stored prior to the entry into force of the GDPR because their processing is strictly necessary to satisfy the legitimate interest of our Fraternity in maintaining its subscribing audience. Since May 25, 2018, data submitted only in person and consensually by subscribers, old and new, are collected on the basis of the principle of prior consent, and a record of these consents is kept.

The data is kept in a secure encrypted database stored on a hardware carrier at our Fraternity’s offices and is only accessible by accredited persons. The data is deleted after two years from the cessation of mailing of the magazine.

Donations

Our Fraternity accepts donations in person at its offices, via deposit into bank accounts, and via the PayPal payment institution. Where available, we collect full name, gender, postal address, contact telephone numbers, email address, and language of communication, as well as ID card number or other identification document, your general preferences for the utilization of your donations, and the history of your donations to our association.

This data is collected for the fulfillment of our legal obligations, such as the issuance of personalized receipts and the submission of donation tax declarations. However, it is also collected because it is absolutely necessary to satisfy our legitimate interest in maintaining a principle of transparency and accountability towards our donors, safeguarding the prestige of the Fraternity. You are the sole source of the data.

Members of the Association

Within the framework of its activities, the Fraternity collects contributions from its regular and supporting members, following an application they have previously submitted. For these individuals, their full name, gender, postal address, contact telephone numbers, email address, and language of communication, as well as the history of their contributions, are collected exclusively by them. Processing is carried out after the consent of the members for monitoring compliance with their statutory obligations.

The data is kept in a secure encrypted database stored on a hardware carrier at our Fraternity’s offices and is only accessible by accredited persons. The data is deleted after two years from the deletion of the member.

Tenants

The Fraternity leases properties that have been bequeathed to it for the purposes of the Mission. To secure its legitimate interests for the collection of rents, it collects from the data subjects and processes the full name, gender, postal address, contact telephone numbers, email address, and language of communication of the tenants, as well as their payment history.

The data is kept in a secure encrypted database stored on a hardware carrier at our Fraternity’s offices and is only accessible by accredited persons. The data is deleted after ten years from the expiration of the lease.

Suppliers

For the fulfillment of its purposes, the Fraternity procures goods and services, such as food for the missionary outposts. From its suppliers, it collects and processes the full name, gender, postal address, contact telephone numbers, email address, and language of communication, as well as bank account numbers and their Tax Identification Number (TIN) and Tax Office (DOY) of affiliation, to fulfill its legal obligations (submission of consolidated statements, etc.).

The data is kept in a secure encrypted database stored on a hardware carrier at our Fraternity’s offices and is only accessible by accredited persons. The data is deleted after twenty years from the last transaction.

Correspondence

The Fraternity communicates via conventional and electronic mail with Orthodox missionaries, friends and donors of the Mission, and other individuals. For the fulfillment of its legal obligations and the satisfaction of its legitimate interest in effective communication with the community, we collect the full name, gender, postal address, contact telephone numbers, email address, and language of communication of the senders or recipients of correspondence, as well as the correspondence history (protocol).

The data is kept in a secure encrypted database stored on a hardware carrier at our Fraternity’s offices and is only accessible by accredited persons. The data is retained indefinitely.

Newsletter

Our Fraternity periodically sends a newsletter by e-mail to persons who have expressed an interest in doing so. With your consent, we collect the e-mail address of the subscribers and the date on which consent was given. The data is transferred to the Mailchimp electronic mass mailing service, through which the newsletter is sent, and is retained until you request to unsubscribe.

Communication forms

When you submit a contact form through our website, our Fraternity will collect and store the data you fill in, as well as your IP address. The data is collected with the consent of the persons submitting the form and for the sole purpose of our effective communication with you. The data is kept for a period of five years in a secure encrypted database stored on the website server and is only accessed by accredited persons.

User accounts

Our Fraternity offers you the possibility to create a free account on our website, to have access to your personal data, such as your donation history. The service is optional and requires your consent, as it uses cookie technology.

For users who register, we store the personal data they enter in their user profile. All users can view, edit, or delete their personal data at any time (except their username). The administrators of this website can also view and edit this information. The data remains stored in a secure database on our server until you request the deletion of your account.

If you have an account and log in to the website, we will create a temporary cookie to determine if your browser accepts cookies. The cookie does not contain personal information and is deleted when you close your browser.

When you log in, we will also create various cookies to store your login information and screen options. Login cookies last for two days and screen options cookies last for one year. If you select “Remember me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

The data is used because it is technically necessary to provide you with this optional service. It is stored on your computer and you can delete it whenever you wish.

Embedded content from other sites

Who we share your data with

We do not share your personal data with anyone unless required by a specific legal provision. If you are a donor and decide to fund the construction of a project, we may, with your consent, share your full name and contact information with the missionary who undertook the construction of the project. If you have subscribed to our newsletter, we will share your email address with the Mailchimp online platform so that we can send you the newsletter securely.

What rights you have

You have every right to request access to your data or to demand their correction or immediate deletion.
